CRM REPORTING GUIDE
CRM Lead-Source Taxonomy: Clean Marketing Reporting

When every lead is labelled “website”, “digital” or “other”, no one can tell which investment is producing qualified opportunities. A controlled lead-source taxonomy gives sales and marketing a shared language.
Separate source, campaign and outcome
Use different fields for the marketing channel, campaign, original source, landing-page or referral context, lead owner and outcome. One catch-all field creates ambiguity and makes reports hard to trust.
Start with a small, governed taxonomy
- Define top-level channels such as organic search, paid search, paid social, organic social, referral, email, event, partner and direct.
- Use controlled campaign naming rather than free-text labels.
- Retain original source values even when ownership changes later.
- Create a clear “unknown” process so staff do not guess.
- Document field definitions and train every team that creates or updates leads.
Use it for better decisions
Once the data is clean enough, compare contact rate, qualification rate, opportunity rate, applications, sales or revenue by source. This lets teams improve channels based on meaningful downstream evidence.

Govern changes
Assign a data owner, log taxonomy changes and review new sources before creating custom labels. A small controlled structure is easier to maintain than a long list of inconsistent campaign names.
